The Cautions / Expires tab in Passport helps you manage missing, expiring, and expired credentials like licenses and certificates. This article will cover how to track required items based on your organization’s policies, add missing credential details, and filter by status or other criteria. Quick previews are available on your dashboard, with detailed views in the tab. You can also schedule email reports for credential updates. The "Cautions / Expires" tab is your go-to section for managing missing, expiring, or expired licenses, certificates, and documents. You can also use this section to add missing credential information.
Quick Access:
You can preview Cautions / Expires directly on your Passport Dashboard. For detailed information, click "Cautions / Expires" in the blue navigation bar.
How Cautions / Expires Works
During your organization’s onboarding, a requirements policy may have been established. This policy prompts Passport to track specific credentials based on job title, role, or position.
- Missing Credentials: When an item is Missing, it means, we have not received the credential information to monitor based on your organization's unique requirements. Most credentials require the credential type, issuer, and expiration date, along with an optional scanned copy.
- If you oversee multiple facilities, your preview appears at the top of the dashboard, next to your ProviderTrust score and monitor alerts. Clicking the numbers generates detailed reports.
If you oversee a single facility, your preview is located in the bottom left corner of the dashboard. Clicking links in this section opens detailed views within Cautions / Expires.
Using the Cautions / Expires Tab
From the Cautions / Expires tab, you can:
- Filter Credentials: Use the search fields to narrow results by status (Missing, Expiring, Expired) or other criteria like job title or unit.
- Customize Views: Adjust visible columns in the Cautions table. For help, see How to Customize Visible Fields in Providers, Cautions, Monitor Tabs.

Add Missing Items:
- Filter for “Missing” items.
- Click View it will pull up more details regarding what credential is missing from Passport.
- Select Details for the license - ensure you have included the type, issuer, number, and expiration date. Optionally, upload a screenshot.
- After saving, a yellow banner will confirm, “This Caution was cleared as a result of your update."
- Repeat for other missing credentials.

Stay Updated with Email Reports
